About the position

The Executive Assistant for the Information Technology Department at the City of Abilene plays a crucial role in supporting the Director of Information Technology and the assigned Supervisor - Technology. This position is designed for a highly organized and technology-savvy individual who can thrive in a fast-paced and dynamic environment. The Executive Assistant will be responsible for a variety of administrative, financial, and inventory management tasks that are essential for the smooth operation of the department. The role requires a proactive approach to problem-solving, the ability to prioritize tasks effectively, and strong communication skills to interact with both internal and external stakeholders. Key responsibilities include managing daily and weekly budgeting updates for multiple budgets, processing payment requests, and assisting with the City's Purchasing Card program reconciliations. The Executive Assistant will also handle departmental supply ordering, shipping, receiving, and inventory management. This position serves as the first point of contact for the Information Technology Department, requiring excellent customer service skills to address requests and issues from colleagues and the public. Additionally, the Executive Assistant will assist in preparing reports for the annual Information Technology Plan and support the operations of the Abilene Taylor County 911 District as assigned. The ideal candidate will possess a strong knowledge of Microsoft Office applications, accounting practices, and inventory processes. They will be expected to maintain accurate financial information for the department, manage multiple tasks efficiently, and adapt to changing priorities. The role does not involve supervising others but requires a collaborative spirit to work effectively within the team and contribute to the division's mission. The Executive Assistant will also be responsible for drafting and implementing policies and procedures as needed, ensuring that all tasks are completed with precision and accuracy.

Responsibilities
? Support the Director and assigned Supervisor - Technology in all aspects of the Information Technology Department.

? Manage daily and/or weekly budgeting updates for multiple budgets.

? Process daily payment requests and submit requisitions for purchase orders.
,
? Assist in the City's Purchasing Card program reconciliations.
,
? Handle departmental supply ordering, shipping, receiving, and inventory management.

? Act as the first point of contact for the Information Technology Department.

? Schedule meetings and manage correspondence for the department.
,
? Prepare information and reports for the annual Information Technology Plan.
,
? Assist with the Abilene Taylor County 911 District operations, board, and finances as assigned.

? Perform various accounting tasks, analysis, and financial functions as required.
,
? Communicate with vendors and suppliers to retrieve pricing/quotes and manage inventory documentation.
,
? Draft, coordinate, and implement policy, procedures, and standards as assigned.

Requirements
? High school diploma or GED is required.
,
? Four (4) years of previous experience in accounting and/or Information Technology is required.
,
? Associate's degree in Information Technology, Business Management, or Business Administration is preferred.
,
? Valid Texas driver's license or ability to obtain one within ninety (90) days of employment.

Nice-to-haves
? Experience with Helpdesk ticketing procedures.

? Familiarity with project management functions.
