About the Seasonal Associate Program: The Seasonal Associate Program is designed to provide young professionals with hands-on experience, professional development, and opportunities to build skills and industry knowledge through contributing to a variety of events and initiatives. This program runs from August through February, but is subject to change.
Seasonal Events Associate Role Summary: Seasonal Events Associates will contribute to the success of the Fiesta Sports Foundation through assistance with the planning, coordination, and execution of various events, including the Vrbo Fiesta Bowl, Rate Bowl, Par 3 Challenge, Fiesta Bowl Parade, and pregame parties. These roles involve working closely within the Foundation and with external partners to provide exceptional experiences for all stakeholders. Seasonal Events Associates will be assigned responsibilities across events and initiatives based on interest and skills.
Key Responsibilities May Include:
? Assist with the planning and execution of our portfolio of events:
? Vrbo Fiesta Bowl, including team, official party and bowl week events and hospitality suites
? Rate Bowl, including team, official party and bowl week events and hospitality suites
? Arizona Bank & Trust Fiesta Sports Foundation Football Kickoff Presented by Fairmont Scottsdale Princess
? PNC Fiesta Sports Foundation Par 3 Challenge presented by Chapman Automotive
? Vrbo Fiesta Bowl Parade presented by Lerner & Rowe
? Oversee the setup and breakdown of event infrastructure.
? Work closely with vendors to coordinate event orders, onsite plans, and product deliveries.
? Collaborate with various stakeholders, including Fiesta Bowl team members, college football officials, stadium management, sponsors, and independent contractors to execute events.
? Prepare materials for meetings, take minutes, and compile action items.
? Maintain contact lists and documentation, ensuring meticulous data entry and record-keeping.
? Assist with warehouse operations, including distribution and delivery schedules.
? Support security logistics related to games, teams, VIPs, and other event-related matters.
? Manage staff and volunteer coordination.
? Adapt to evolving organizational needs and undertake tasks beyond those listed.
? Contribute to projects as they arise, ensuring the team?s objectives are achieved efficiently and effectively.
Qualifications: ? Availability of additional hours during event periods, including nights, weekends, and holidays, is required. ? An Associate's or Bachelor's degree in a related field (such as Sport Management, Marketing, Business Administration, or Communications), or currently pursuing such a degree. ? Relevant experience in the sports industry and event management preferred. ? Excellent written, verbal, and organizational skills. ? Experience with Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, etc. ? Adobe Creative Cloud (Acrobat Pro, InDesign, etc.), Smartsheet and JotForm experience helpful, but not required. ? Ability to adapt, multi-task and work as a team under tight deadlines. ? Ability to effectively perform the listed responsibilities and tasks with or without reasonable accommodations.
