QB Desktop Bookkeeper/Admin Assistant
Posted 2025-04-24We are seeking a Bookkeeper / Admin Assistant to manage bookkeeping in
QuickBooks, process payments, prepare quotes, and support the CEO with admin
tasks. Strong Excel skills, bookkeeping experience, and excellent communication
are required.
Job Responsibilities:
Create and Send Quotes: Prepare and send accurate quotes for various
construction projects, ensuring they align with customer requirements and
company pricing policies.
Update Database: Maintain and update company databases, ensuring all
client and project information is current and accurate.
Process Payments: Handle the processing of payments, ensuring timely and
accurate invoicing and follow-up.
Job Reports: Prepare and maintain detailed job reports, tracking project
status, costs, and timelines.
Admin Support: Provide administrative support to the CEO and other team
members, assisting with scheduling, emails, documentation, and project
coordination.
Bookkeeping: Manage and maintain the companys bookkeeping using
QuickBooks Desktop. Track and reconcile accounts, process payroll, and
assist with monthly financial reporting.
Customer Support: Act as a point of contact for customer inquiries, resolving issues promptly and professionally.
Phone Support: Make and take phone calls, assisting clients and team
members with any project-related questions or concerns.
Back Office Organization: Collaborate with team members to ensure the
back office is organized and running smoothly. Assist with general
administrative duties as required.
Qualifications:
Bookkeeping Experience: Proven experience as a bookkeeper, ideally with
experience in the construction industry.
QuickBooks Desktop Proficiency: Strong knowledge of QuickBooks Desktop
for bookkeeping and administrative functions.
Customer Service: Demonstrated experience in customer service, with the
ability to handle client inquiries professionally and efficiently.
Advanced Excel Skills: Proficiency in advanced Excel functions, including
data analysis, reporting, and financial tracking.
Communication Skills: Excellent verbal and written communication skills in
English, with the ability to interact effectively with clients, vendors, and
team members.
Proactive and Detail-Oriented: Strong organizational skills with the ability
to prioritize tasks and manage time effectively.
Construction Industry Experience (Preferred): Previous experience working
in a construction company is a plus but not required.
