The Clinical Administrative Assistant provides professional support and scheduling services within Vista by performing clerical and technical duties and assisting in supporting the work of clinical professionals.

ESSENTIAL FUNCTIONS
? Performs and organizes a wide variety of clerical duties for administrative personnel, and support staff including, but not limited to composing and formatting documents and disseminating communication.
? Completes administrative tasks and projects as assigned by ABA Services Manager or Executive Director of Clinical Programs.
? Assists with solving complex problems, effectively communicating needs, conducting necessary research, recommending options, and implementing solutions
? Handles protected documentation, materials, and information ethically and confidentially
? Acts as liaison for administration, support personnel, clients, parents, vendors, and the greater Vista community through strong and professional internal and external customer service skills
? Performs general office support, files appropriate documentation, and maintains electronic health records and other files
? Develops and maintains spreadsheets for program monitoring and monthly reporting
? Performs program audits as assigned
? Reviews and submits initial, annual, and updated authorization packets for client services
? Communicates with providers to solve authorization and service issues
? Composes a variety of materials, such as, letters, memorandums, and email correspondence
? Completes other duties as assigned

PHYSICAL DEMANDS

The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of this job. The following positions or movements are typical of the job: sitting, walking, standing, and reaching, often for extended periods of the workday.

The position requires that an individual be able to learn new tasks quickly and effectively. Job requirements may change frequently. The ability to understand and carry out detailed, involved, instructions is mandatory. The incumbent must be able to travel to multiple locations as needed, when needed to conduct organizational business. Subject to inside environmental conditions.

EXPECTED SCHEDULE

Full-time days and hours of the workweek are Monday through Friday as agreed upon by management, and the Administrative Calendar.

EDUCATION AND EXPERIENCE
? High School diploma or GED required
? High proficiency in Microsoft Office products and Internet applications required
? 1-3 years of experience in applicable administrative support role required
? Understanding and ability to apply complex policies and rules required
? Experience with IBHS programs highly preferred

KNOWLEDGE AND SKILLS
? Associate?s degree in related administrative function preferred
? Ability to work efficiently with service-oriented attitude with frequent interruptions
? Excellent organizational skills and verbal and written communication skills
? Ability to prioritize and manage multiple projects and hard deadlines
