About the position

The Full-time Administrative Assistant at Lower Macungie Township serves as a key intermediary between the township's citizens and its employees, providing essential office support primarily to the Department of Community and Economic Development. This role requires a professional demeanor, strong organizational skills, and the ability to handle multiple tasks while maintaining confidentiality and a commitment to public service.

Responsibilities
? Provides assistance to residents, contractors, developers, and vendors for Township-related business in a professional manner.

? Answers incoming telephone calls, determines their purpose, and forwards to appropriate personnel or department.
,
? Responds to walk-in inquiries regarding township-related and departmental business requests.
,
? Refers the public to the appropriate department or staff member for technical inquiries.
,
? Distributes and receives applications and department forms and processes them according to internal procedures with thorough attention to detail.
,
? Provides office support and performs clerical duties such as typing, filing, data entry, document imaging, and photocopying.
,
? Gathers, maintains, prepares, scans, and archives Township records in an organized fashion electronically and in hard copy form.
,
? Maintains, creates, and distributes reports, spreadsheets, documents, and written processes.
,
? Ensures legal notices and notifications are prepared and comply with the law.
,
? Assists with preparation of meeting minutes and agendas and attends night meetings as needed.
,
? Provides back-up to other support staff as needed, while working in a team environment.
,
? Coordinates schedules and calendars by arranging meetings, appointments, and inspections.
,
? Composes correspondence, memos, presentations, reports, and other documents as requested.
,
? Inputs and maintains data in various computer systems.
,
? Types, formats, and proofreads a variety of materials including correspondence, memos, and reports.

Requirements
? High school diploma required; Associate's degree preferred.
,
? Five+ years' experience in an office environment, preferably dealing one-on-one with external customers.
,
? Proficient in Microsoft Office and Adobe.
,
? Experience in municipal government office and filing/inventory tracking/maintenance preferred.
,
? Excellent communication and interpersonal skills.

Nice-to-haves
? Experience in customer service for at least 1 year.
