Description

The Administrative Coordinator provides coverage of routine receptionist and administrative functions as the primary front desk contact at the Perot Family Campus on Saturdays. This includes providing support and service to internal and external customers to facilitate volunteer activities.

MINIMUM QUALIFICATIONS:

Education:
? High School Diploma or GED required

Special Knowledge/Skills/Abilities:
? Proficient working with Microsoft Office products (Excel, Word, and Outlook)
? Attention to detail and commitment to accuracy
? Must possess exceptional interpersonal and verbal communication skills
? Ability to work independently, multi-task, and accept direction on given assignments
? Able to work collectively with the on-site staff, as well as the administrative team associates
? Bilingual (English/Spanish) preferred

Experience:
? 6 months of relevant experience and/or training or equivalent combination of education and experience

PRINCIPLE DUTIES AND RESPONSIBILITIES: ? Open and close reception/visitor area (lock and unlock doors, turn lights on and off, stock media stand) ? Maintain security of the building by monitoring those coming in/out of the building ? Greet visitors and volunteers with an open and friendly demeanor ? Provide necessary guidance, information, proper security badge, and safety vest as appropriate ? Answer and direct telephone calls to the appropriate employee or their voicemail when the team member is not available ? Provide visitors and callers with information such as the North Texas Food Bank address, directions, phone numbers, fax numbers, website, and other related information ? Provide callers or walk-in visitors seeking food assistance with information regarding location of local pantries that provide service to their residence and the process of applying for services ? Accept monetary and food donations, provide receipts ? Receive, open, sort, separate and distribute incoming mail to appropriate staff members ? Coordinate the pick-up and delivery of express mail services ? Assist with other related clerical and administrative duties such as scanning, photocopying, filing, organizing, faxing, including providing basic administrative and data entry support as needed ? Assist with coordination of repair and maintenance of office machines and supplies ? Perform other tasks and duties as assigned

? The person in this position is regularly required to use written, oral, and listening communication skills, analyze and solve problems, learn and apply new skills and information.
? The person in this position needs to adapt well in the face of workplace stressors such as customer complaints and maintaining the safety of people and property.

PHYSICAL DEMANDS:
? While performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel crouch or crawl; talk or hear.
? Must regularly lift and/or move up to 15 pounds, frequently lift and/or move up to 50 pounds, and occasionally lift and/or move more than 50 lbs.
? Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

ENVIRONMENTAL FACTORS:
? Moderate noise (i.e. business office with open floor plan with computers, phone, and printers, light traffic).
? Availability on Saturdays is required
